TITLE (REQ ID): MGR MEDICAL STAFF OFFICE (74262) DEPARTMENT: MEDICAL STAFF ADMINISTRATION EMPLOYMENT TYPE: FULL TIME SHIFT: DAY HOURS PER PAY PERIOD: 80 SHIFT HOURS: 8HOUR FACILITY: DOMINICAN HOSPITAL SANTA CRUZ LOCATION: SANTA CRUZ, CA POSITION REQUIREMENTS Under general direction of the Medical Staff CMO, Chief of Staff and other Medical Staff Leaders provides support to the medical staff activities and processes.Position Qualifications:Education: BA or BS Degree in healthcare or business management related field preferred. Certified Professional Medical Service Management (CPMSM) or Certified Provider Credentialing Specialists (CPCS)Special Training: Must be proficient in keyboarding and have the ability to take minutes of meetings. Ability to use personal computer for word processing and E-mail required. Proficiency in Microsoft Word, Microsoft Office, and basics of Excel preferred. Thorough knowledge of business vocabulary, grammar, punctuation and spelling required. Working knowledge of organizational structure and experience in an acute care hospital preferred. Experience: Five years experience in Medical Staff Services Management, previous managerial/supervisory experience preferred. Job responsibilities:1. Assures confidentiality of medical staff activities pertaining to credentialing, patient care review, and peer review. 2. Oversees functions that support the Medical Staff’s mandated functions/reviews for accreditation, and assures compliance to federal laws, and state statutes for medical staff. 3. Oversees and conducts as appropriate all activities related to medical staff and allied health care practitioner credentialing including the following: (a) processing of all new applications to the medical, and allied health professional staffs, re-appointments of same, resignations, and changes in status; (b) maintenance of a computerized physician database; and (c) support of the clinical medical staff departments. 4. Assuring maintenance of inactive physician credential files, prior peer review proceedings, out-of-date committee minutes, and other related medical staff items in a secure area. 5. Coordinating activities to provide assistance to the medical staff, specifically to officers, department and committee chairs, in developing and maintaining appropriate bylaws and rules and regulations to provide a governing mechanism for effective medical staff management. 6. Coordinating activities to develop and maintain a policy and procedure manual for the Medical Staff Services Department and a policy manual for the medical staff. 7. Apprising the Medical Director Medical Staff Administration, Chief Medical Officer, CEO, Vice President of Patient Care Services, and Medical Staff Officers of all significant matters pertaining to the medical staff, hospital and operation of the Medical Staff Services Department. 8. Overseeing the budget for the Medical Staff Services Department. Overseeing accounting process for Medical Staff treasury to include monthly reporting and special requests for funds. 9. Demonstrating the ability to prioritize, prepare, integrate, and report statistical/disposition data in a timely and thorough manner. 10. Assumes primary accountability for all arrangements and activities related to medical staff committees, departments, services or task forces which may change from time to time. This includes meeting preparations (location, food etc), agenda and document preparation, minutes and all follow-up as required based on decisions made during any of these meetings.11. Participating in department and hospital-wide activities and serves on Medical Staff and Hospital Committees, as appropriate. 12. Prepares/distributes ED call Rosters for all specialties, monthly, 13. Maintains all CME program documentation and attendance reports.14. Coordinates initial physician and allied health care practitioner orientation.15. Maintains medical staff finance checking and savings accounts. Prepares checks for signature by medical staff Secretary/Treasurer at the General Staff meetings.16. Coordinates all medical staff celebrations and social gatherings as requested by the MEC and Administration17. Hire and supervise the Medical Staff Assistants in their roles as defined by their position descriptions.
