POSITION: CLIENT SERVICE SPECIALIST/ADMIN SUPPORTLOCATION: CALGARYSTATUS: PART TIME (3 DAYS/WK; MAY INCLUDE EVENINGS AND WEEKENDS)GENERAL ACCOUNTABILITY: The Client Service Specialist´s primary function is to process referrals by admitting the client on the system, establishing ongoing service and setting up the client file and communication lines with the client. Accurately and precisely schedule and allocate client service staff to meet the needs of Comcare´s clients/patients while demonstrating excellent customer service and front line communication skills, executing with absolute precision.DETAILS OF POSITIONReporting to the Branch Manager, the incumbent is responsible for:- Fill and schedule shifts through the availability and allocation of qualified staff with skills to match client needs.- Manage client and employee service changes.- Manage staff availability and overtime.- Communicate changes in staff hours/days to clients and referral sources and advise staff of changes in service schedules.- Generate enthusiasm with client service staff to deliver top quality service.- Proactively sell services to existing and prospective clients.- Enter service codes and pay rates with absolute precision.- Maintain and update client and employee files/information/audits, including discharges.- Provide exceptional customer service to current paying clients and prospective clients by responding to their issues and working with them to solve their problems.- Prepare written reports on all client and staff concerns, complaints and compliments. Send reports to Client Service Supervisor and/or Manager.- Generate reports on coordination effectiveness and take appropriate action based on the data.- Confirm shifts through timely review and matching of time slips.- Confirm and report travel time. Admin duties such as faxing, typing, photocopying, mailing etc- Work in compliance with the provision of the Occupational Health and Safety Act. QUALIFICATIONS- Community College or equivalent. Grade 12 minimum - Proficient in Microsoft Office Applications of Word, Excel minimum standards. . Proven ability to work in a fast paced, multi-task environment.- Flexibility in adapting to changing working conditions. . Experience in a similar or related customer service role is preferred, health care background an asset.- Proven customer service skills and ability to communicate effectively and professionally with both internal and external clients including written communication skills Application Deadline: Oct 16, 2009
