Duties and Responsibilities: The Office Specialist Sr., is the primary purchasing agent for Campus Health Service (CHS) medical and office supplies and is responsible for procuring goods and services and rendering payments according to ASU policy, as well as, reconciling purchase cards and blanket requisitions. Maintain knowledge of appropriate mechanisms and required paperwork and transaction coding to process purchases, deposits, refunds, transfers, and service requisitions for facilities and equipment repair. Responsible for billing ASU departments that receive a transfer of supplies from CHS. Maintain knowledge of and establish relationships with key vendors, keeping appraised of products, pricing and substitution; ensuring that all purchases are cost effective. Process a high volume of daily transactions and maintain all appropriate back-up documentation. Collect and organize timecards and time off requests, serving as a payroll resource to CHS staff, and assist with the biweekly payroll reconciliation. DAYS AND SCHEDULE: Campus Health Service hours of operation are Monday - Friday 8:00 am - 6:00 pm. This position is 40 hours per week during operating hours. Minimum Qualifications: Five years of increasingly responsible office/clerical experience which includes one year in a directly related function; OR Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved. Desired Qualifications: Experience working in a fast paced environment processing a high volume of purchases and other business transactions. Experience as a purchasing agent or primary purchasing employee. Experience working in a medical or clinical office environment. Experience processing payments and orders utilizing a computerized institutional system. Experience with Microsoft Office or similar software with a high proficiency in using spreadsheets. Effective verbal and written communication skills.
