Receiving general direction from the Division Chief, Administrative Director, and Sr. Administrative Managers for the GI Research Unit. The principle responsibilities are performing various administrative support functions that serve to further the clinical and non-clinical research conducted within the Unit. Drawing on a broad understanding of Hospital, NIH, and other sponsor policies, and displaying a high degree of initiative, and organization, the incumbent will at the pre-award stage coordinate the collection of compliance documents, budgetary information, personnel information, and other items required for meeting Hospital and sponsor requirements. The incumbent will compile and format biosketches, fill out applications and prepare agendas. Maintains discretion and judgment to organize priorities, complete tasks and handle confidential information.Financial Responsibilities- Participates in the pre-award phase of research grant and contract administration (for NIH, industrial and foundation grants, sundry funds, clinical trials, etc.) - Coordinates grant requests and applications, key personnel and other support components- Maintains knowledge of Hospital and sponsor fiscal policies, such as allowable costs, and effectively communicates these policies to principal investigators, research staff, and administrators, to ensure compliance with these policies - Works closely with Sr. Administrative Managers, Accounts Payable, Research Finance, Payroll, and other internal departments and external entities, as needed, for resolution of billing errors.Human Resources/Supervisory Responsibilities- Establishes effective working relationships with principal investigators, representatives of other MGH Departments, collaborators, and sponsor agency representatives- Assists principal investigators with personnel-related documentation and reporting requirementsOperational and Regulatory Responsibilities- Communicates with investigators regarding billing, scheduling, or other administrative issues, as needed- Coordinates development, preparation, and distribution of research-related Departmental publications/communications- Performs/coordinates special projects for Administrative Director and Department as may arise from time-to-time.- May be responsible for agenda preparation, project scheduling, meeting minutes, document formatting, manuscript submission, and data-entryQualifications:- Associates Degree Required in Secretarial Science, Medical Secretarial Science, or Business - Bachelors Degree or equivalent in Business or Related Field Preferred - Minimum of 3 to 5 years of related administrative experience- Strong Experience with preparation and assembly of NIH Research and Grant proposalsSkills/Abilities/Competencies Required:- Time Management: Exceptional organizational skills and ability to organize time and priorities effectively, asking for direction when appropriate. May be required to attend meetings outside of regularly scheduled hours.
