The Polyclinic is one of the largest multi-specialty clinics in the Puget Sound area, with more than 150 primary care and specialty physicians in most areas of medicine.
The Director of Electronic Health Records is responsible for successfully implementing and maintaining TPCs electronic health record, in collaboration and partnership with the Associate Medical Director for Informatics, the IT clinical application manager, and other key stakeholders. The Director is the operational business owner and expert in this area, ensuring that TPC optimizes the efficient use of the functionality of the E.H.R. application and successfully manages ongoing upgrades and other changes associated with the E.H.R. KEY RESPONSIBILITIES: - Stays current on E.H. R. trends and emerging developments. - Participates in and contributes to TPCs strategic planning process as it relates to informatics. - Serves as a key staff member supporting the E.H.R. Steering Committee. - Hires, develops, and manages an interdisciplinary team to successfully implement and maintain the E.H.R. - Selects, in conjunction with the Associate Medical Director, physician champions and staff super users to assist in the implementation and ongoing management of the E.H.R. - Develops and maintains thorough knowledge of all aspects of TPCs business model and understands how the E.H.R. may impact the model. - Works with physicians and staff to understand their workflows, as well as clinical and business needs, developing or modifying implementation strategies to best meet those needs. - Works with the E.H.R. staff at Swedish Medical Center to ensure that the Swedish model is configured to meet the specific clinical and business needs of TPC. - Works closely with IT to facilitate optimal E.H.R. configuration, testing, installation of appropriate hardware and software, integration with other systems, and overall implementation of the application or upgrades. - Ensures, in conjunction with the Compliance Officer, that the E.H.R. and related work processes comply with all requirements and laws from third party payors and regulatory bodies. - Develops mechanisms to regularly monitor and ensure the security and appropriate handling of patient records. - Ensures that processes of patient care and documentation are standardized and improved during implementation processes. - Identifies opportunities to use the E.H.R. to enhance patients experience at TPC. - Creates an optimization program to ensure that physicians and staff are using the application to its fullest. - Solicits, prioritizes, and responds to physician and staff suggestions for improvements in the application, implementation processes, and other E.H.R. support functions. - Develops and improves E.H.R. training programs for physicians and staff, in coordination with the TPC training department and other vendor resources. - Identifies customers that use data from the system, understands their needs, and develops tactics to best meet those needs. - Selects and implements appropriate quality, service, and financial metrics to properly manage implementation processes and demonstrate value to stakeholders. - Manages the E.H.R. implementation to meet return on investment (ROI) milestones and other defined metrics. - Manages customer expectations of the E.H.R. - Manages the overall implementation of the initial project and any upgrades, using established TPC project management tools and meeting expectations regarding the project schedule, deliverables, and milestones. - Creates transition plans for current medical records and transcription services functions and staff, integrating appropriate roles and activities into the E.H.R. department. - Requires a minimum of a four-year degree in a related field, and demonstrated project management expertise. - Prefer Masters in a related field; informatics training or equivalent; experience successfully managing complex E.H.R. implementation activities in a multi-specialty group practice; experience with the Epic E.H.R.; and RN or RHIA licensure.
