Purpose Of Job The Medical Receptionist is responsible for performing all secretarial and administrative duties in the clinic. In addition, s/he is to provide excellent customer service when dealing with patients. Major Activities Administrative Secretary • Receive and process
payments from patients for products and services
• Maintain sufficient
copies of relevant master copies
• File and maintain patient
cards/charts according to nursing requirements
• Prepare charts for
patients seeing the Doctor
• Book patient and Doctor
appointments
• Complete data entry
in a timely and accurate manner
• Prepare and process
all Ministry of Health billings
• Schedule consultations
according to nursing schedule
• Prepare consultation
packages for nursing staff
• Prepare daily patient
cards for new patients
• Confirm information
for ''restart'' patients
• Maintain and order
office supplies as needed
• Follow-up on outstanding
payments from patients as per clinic standards
• Complete daily cash
balances/reconciliation
• Complete and process
product and medical supplies inventory
• Mail all invoices to
the Accounting Dept.
• Complete and process
Supply Requisition Form
• Prepare blood requisitions
as required by nursing staff
• Complete and process
Census Customer Service • Greet patients in a
welcoming and professional manner
• Answer all incoming
calls within the first three rings using the proper
telephone standard
• Respond to enquires
or refer appropriately as required
• Weigh incoming patients
as required by nursing staff
• Follow-up telephone
calls to ''no show'' patients
• Prepare patient receipts
as required
• Provide current/prospective
patients with information in person and by phone
following prepared scripts Sales • Encourage all patients
to browse the assortment of products available
for sale and promote as much as possible
• Promote the diet plan
to all prospective patients
• Ensure a sufficient
quantity of protein packs, bars, vitamins, scales
etc. Other Duties • Perform training duties
as required
• Assist other clinics
with daily operation as required
• As assigned by Supervisor
and higher management Competencies: • Medical Office Administration
education or equivalent work related experience
preferably with a minimum of 2 years experience
• Customer Service Oriented
• Excellent verbal and
written communication skills
• Pleasant and professional
manner, in person or over the phone
• Ability to maintain
patient confidentiality
• Experience with Ministry
of Health billing and reconciliation of payments
• Demonstrated ability
to work in a team environment
• Collaborate as an active
participant with others in assisting with the delivery
of care to patients
• Basic knowledge of
Microsoft office and Outlook would be preferred
• Exceptional organizational,
time management, and prioritization skills
• Excellent knowledge
of health care and office practices, procedures
and standards
• Ability to work well
under pressure
• Ability to produce
