Capitol Spine & Pain Centers® is a preeminent pain management practice delivering compassionate and competent patient care for over three decades.
We have seven offices located in the northern and central Virginia areas, along with an office in Washington, D.C. and we are continuing to expand and grow. Come join our management team and work with 16 physicians, 7 physician assistants and over 60 staff.
Summary: In accordance with the direction of the Board of Directors and Administrator, provides leadership, management and oversight for multiple medical offices to assure quality control and consistency of operations across the organization. Maximizes the utilization of resources with the goal of achieving high quality patient care and services.
Duties and Responsibilities:
1.Assures seamless and consistent office operations that maintain full provider schedules, timely clean claim submissions, and deliver high quality patient facilities and services. Makes changes to assure accurate, timely and efficient output and outcomes.
2. Leads, manages and supervises Office Managers for assigned offices including interviewing and hiring recommendations, coaching and counseling, performance monitoring and evaluations, scheduling and time-keeping, and, fulfilling all duties and responsibilities.
3. Assesses and continuously improves operational systems, processes, and policies in support of the organization´s mission; drives initiatives that contribute to long-term operational excellence.
4. Investigates and addresses patient concerns and complaints and implements appropriate course of action, including escalation.
5. Intervenes and problem solves for inter/intra departmental issues. Facilitates active communication, negotiation and decision-making. Takes corrective actions in situations requiring intervention including interpretation and implementation of policies and procedures.
6. Works with Human Resources, Finance, Billing and Claims, Compliance and others as required. Establishes and conducts training and development programs for Office Managers and office personnel and assures timely completion.
7. Assures Federal, State and local regulatory compliance. Obtains facts and evaluates data to identify and intervene in potential safety and risk-management issues. Communicates pertinent information in a timely matter to leadership.
8. Communicates timely and pertinent information, actions, and decisions to Office Managers and assures seamless information flow.
9. Facilitates the orientation of new personnel to Operations. Facilitates the start up of new offices in conjunction with others as required.
10. Other duties and responsibilities as requested or assigned.
Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Education/Experience:
B.A. or B.S. degree in Business or Health Care and 5+ years health care management experience, or equivalent combination of education and related experience. Knowledge of the business and legal implication of work and words in healthcare.
Communication Skills:
Excellent verbal and written communication skills required. Demonstrated ability to read and take action on general business information and reports and to interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write reports and craft business correspondence. Ability to speak professionally and effectively to managers, providers, staff, patients, business partners and the general public.
Interpersonal Skills:
Ability to supervise and manage staff; to identify appropriate candidates for vacancies; to mentor and train incumbents to perform their responsibilities well; ability and willingness to coach the difficult employee; ability to build a productive and high-performing team. Ability to collaborate with management team. Ability to work with sick, difficult, demanding or angry people; to understand and demonstrate great customer service to internal and external customers; ability to work under pressure and multi-task; is resourceful and able to obtain what is required and bring closure
Math Ability:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills:
To perform this job successfully, an individual should have knowledge and abilities to use Microsoft Office Suite and the ability to learn and use software technologies for patient records, practice management, dictation and transcriptions.

Valid driver´s license

Supervisory Responsibilities:
Manages multiple subordinate managers, is responsible for the overall direction, coordination, and evaluation of these units. Carries out supervisory responsibilities in accordance with the organizations policies, procedures and applicable laws.
