JOB DUTIESScope of the Job:Under the direction of the appropriate manager (Director or Administrator), supervises and coordinates the day-to-day clinic activities and personnel issues for the front and/or back office staff located in the ambulatory setting. Coordinates management of the Craniofacial Clinic. Coordinates care of Multi-Disciplinary Clinic patients to ensure that quality patient care is delivered through a coordinated and systematic process and to ensure accountability and continuity of patient care. Acts as a liaison with staff, departments/practices and patients. Within the established guidelines set forth by the University of Florida Jacksonville Healthcare, Inc. and under the direction of the appropriate Administrator or Manager, ensures adherence to all policies, procedures, and regulatory requirements. Provides exemplary customer service and ensures that a high level of customer service is provided by all office/department staff.Under the supervision of the appropriate manager, directs, coordinates, and controls the nursing activities of his/her assigned staff. Utilizes the Nursing Process to provide care for a group of patients. Assists the Medical Director of the Manager in evaluation of assigned staff. Assists physicians in the provision of quality health care. Assignments are performed appropriately to age and developmental level of patients being served.Essential FunctionsThe essential functions are the primary dimensions for performance review.1. Maintains patient privacy.2. Implements office procedures and coordinates appropriate office support in conjunction with the planned activities of the clinic setting including, but not limited to, schedule maintenance, registration of patients, medical record maintenance/review, referral system, managed care programs, fee collection and appointment/discharge process.3. With guidance from immediate manager, assists with personnel and payroll functions for assigned personnel including, but not limited to, participating in the hiring process, training process and continuous coaching and feedback for the staff in relation to their performance.4. Ensures appropriate budgetary standards are implemented and maintained for labor and supply monitoring for front, back and clinical offices.5. Ensures compliance of regulatory and organizational policies and procedures, and recommends changes in the department policies and procedures as identified.6. Participates in regulatory and proficiency checks for quality management and accreditation requirements.7. Institutes high level of customer service in the front, back and clinical office areas in regards to patient, physician and inter-departmental contact made in person or by telephone.8. Coordinates the management of care to patients in the Multi-Disciplinary Clinic Programs.9. Consults for patient selection and ongoing management of care. Coordinates management of care with the medical subspecialty team members. Evaluates, treats, and documents patient care.10. Assumes responsibility and accountability for the implementation of interventions based on medical plan of care and patients current condition.11. Facilitates the progression of care. Coordinates education and guidance for the patient and significant others to maximize the achievement of the expected outcomes.12. Participates and demonstrates ability to be an active member of a team based group practice by providing follow-up to physicians, nurses and insurance companies.13. Collects and assesses patient data to determine patient needs and to provide optimal patient care.14. Acts in an ethical and professional manner in accordance with the organizations code of ethics for nursing.15. Requires the ability to work with people beyond giving and receiving instructions.SKILLS, QUALIFICATIONS, AND REQUIRED EXPERIENCESkills:Working knowledge of patient billing, including CPT4 and ICD-9 coding, medical terminology and various payer classes. Working knowledge of HMOs, Medicare, Medicaid, PPO and Third Party Payers. Above average written and verbal communication skills. Requires excellent decision making skills and initiative. Demonstrates ability to be fair-minded and objective. Ability to work well under pressure. Ability to prioritize and handle several functions/tasks at one time. Demonstrates client service knowledge. Basic arithmetic skills. Data entry experience required. Thorough knowledge of clinical support functions to including, but not limited to, registration, scheduling, and insurance coordination of benefits, managed care and collections. Thorough knowledge of clinical support functions to include special procedures, venipuncture, specimen collection and processing. Knowledge of regulatory agency standards (I.E. JCAHO, HRS, HIPPA). Nursing standards and Florida Nurse Practice Act. Demonstrated Clinical skill in area of ambulatory care and/or particular specialization (i.e. Pediatrics, ENT). Basic management skills. Ability to serve as a resource for the nursing process.Experience:One to three years of operational experience in an ambulatory practice setting in the same or similar specialty preferred. One year computer experience with HBOC and IDX, or other practice management system preferred. Experience with spreadsheet and word processing programs.Education and Certifications:Current Florida licensure as a Registered Nurse. Valid driver´s license and insurance. Completion of a standard medical terminology course preferred. Experience with spreadsheet and word processing programs.
